Family Payment Terms
Effective date: September 26, 2026 for new users, and October 26, 2026 for existing accounts and running payment plans.

These terms apply when you pay a youth sports organization (the "club") through WhereTheyPlay. They are part of our Terms of Service. Please read them before you pay.
1. Who you are paying
You are paying the club. The club sets the price, runs the program and decides who is on its teams. Paying does not mean the club has accepted your registration. Ask the club about that.
How the money moves. Your payment is handled by Stripe, our payment processor. The club's name appears on your card statement. The club's share goes to the club's own Stripe account. WhereTheyPlay keeps its service fee.
We are not part of your agreement with the club. WhereTheyPlay provides the payment page and the payment service. We do not run the program and we are not responsible for it.
2. The price and the service fee
The total comes first. Before you pay, you see the total you will be charged. The total includes:
- the club's price; and
- a WhereTheyPlay service fee.
What the service fee is. It is WhereTheyPlay's fee for the payment service. We use it to pay Stripe's card processing costs, and we keep the rest. It is the same whatever card you use. You see its exact dollar amount before you pay.
No other fees. We never add interest, late fees or any other charge.
Paying the club directly. Some clubs also take cash or checks. If you pay the club directly, there is no WhereTheyPlay fee. Ask the club.
3. Who can pay
You must be 18 or older to pay. We ask for your name and email address so the club can match your payment to your registration, and so we can send you records.
Some clubs that use the Ultimate Dashboard ask for your child's first name, last name (if you want to give it) and team age when you pay. You will see this on the payment page, and you will be asked for your permission first. We never ask for a date of birth. Our Children's Data Notice explains what happens to that information.
4. Payment plans
Some clubs let you pay in installments.
- 1 to 4 payments. A plan has at most 4 payments.
- Same total as paying in full. A plan costs exactly the same total as paying all at once. There is no interest and no fee for paying over time.
- Plans made before September 26, 2026. Plans agreed before that date may cost slightly more in total than paying at once, because a service fee was added to each payment. Those plans keep the schedule and the amounts you were shown when you agreed. The plan confirmation email says the same total as paying in full only when it is true.
- You see the schedule first. Before you agree, you see the amount of each payment, how many there are, the dates, and the total.
- The first payment is today. The rest come out automatically on the same day of each following month (or the month's last day, if it is shorter).
- You authorize the payments. By choosing a plan, you authorize WhereTheyPlay to charge the card you use for each remaining payment on the schedule you were shown, without asking you again. Stripe saves your card for this. We never see or store your card number.
- We email you a copy. When your first payment goes through, we email you a copy of this authorization, word for word, with the amount and date of each payment, the total and the service fee in dollars, confirmation that it is the same total as paying in full, and every way to stop the plan. Keep it for your records.
- If a payment fails. We try the card again the next day, up to 3 tries in all. If all 3 fail, the automatic payments stop, and what is left is owed to the club on the club's terms. If the club uses WhereTheyPlay balance pages, you can catch up from your balance page. Paying a missed payment there restarts your monthly payments on the card you use.
How to stop a plan. You can stop future payments at any time, in any of these ways:
- use the Stop my future payments link in the plan confirmation email we send you;
- press Stop my future payments on your balance page, if your club uses balance pages; or
- email leads@wheretheyplay.com from the email address you paid with, and include the club's name. We stop the remaining automatic payments within 2 business days, and email you when we have.
With the link or the button, the payments stop right away. We email you and the club when they are stopped. You can also ask your card issuer to stop them.
Stopping the payments does not cancel your registration and does not change what you owe the club. What is left shows on your balance page as an ordinary balance, with no extra charge. Talk to the club about your registration. The club cannot stop your plan from its own dashboard, so please use one of the ways above.
5. Refunds
The club decides. Whether you get a refund, and how much, is the club's decision under its own refund policy. Ask the club for its policy before you pay.
How a refund works. If the club agrees to a refund, it is issued through WhereTheyPlay, either by the club from its own dashboard or by us at the club's request. It goes back automatically, through Stripe, to the card you paid with. It usually takes 5 to 10 business days to appear, depending on your bank. When the club issues a refund from its dashboard, we email you a receipt.
The service fee. If the club refunds a payment in full, the WhereTheyPlay service fee on that payment is refunded too. If the club refunds only part of a payment, you also get back the same share of the service fee, rounded to the nearest cent. For example, if the club refunds 20 percent of its price, you also get back 20 percent of the service fee.
Plans. If the club refunds its full share of a plan payment, the rest of the plan stops.
6. If something goes wrong
Talk to the club first. Most problems, such as a program change or a refund, are for the club to decide.
Then talk to us. If the club does not answer, or the problem is with the payment itself, email leads@wheretheyplay.com. We will help if we can.
You can always dispute a charge with your bank. That is your right. If you do, we share the record of the payment with the club and with Stripe so they can respond, and the payment plan stops. It is not restarted, whatever the outcome.
7. Receipts and your balance page
Receipts. Stripe emails you a receipt for each payment.
Your balance page. If the club uses WhereTheyPlay balance pages, you get a private link to a page that shows what you owe the club, what you have paid online and in cash or by check, and a receipt for each payment, including any service fee. Anyone with the link can see that page, so do not share it. If you think someone else has it, ask the club for a new link. Questions about what you owe go to the club.
Emails from your club. WhereTheyPlay does not send payment reminder emails today. If a club turns them on in the future, each one will have a way to stop them.
8. Your information
We share your name, your email address and your payment records with the club you paid. We also keep a family record for you at that club, as our Privacy Policy explains. Stripe receives your card details and processes them under Stripe's Privacy Policy. Our Privacy Policy explains the rest.
9. The rest
These terms are part of our Terms of Service, including its sections on disputes and changes. If we make a material change to these terms, a plan you already agreed to keeps its schedule and terms.
