Terms of Service

These Terms of Service ("Terms") govern your use of WhereTheyPlay (wheretheyplay.com) (the "Service"), operated by WhereTheyPlay LLC, a Washington limited liability company ("WhereTheyPlay," "we," "us"). By using the Service, you agree to these Terms.

1. What WhereTheyPlay Is

WhereTheyPlay is an online directory that helps parents and guardians find youth sports organizations by sport, location, and age group. Organizations may pay a subscription fee to list a profile and post recruiting needs.

2. Who Can Use the Service

You must be 18 or older to create an account, submit a contact inquiry, or register an organization. If you are a parent or guardian contacting an organization on behalf of a minor, you confirm you are their parent or guardian and are 18 or older.

3. Parent / Visitor Use

Browsing the directory and contacting listed organizations is free. Information submitted through contact forms (name, email, message) is sent to the organization you're contacting and stored by us to prevent abuse and respond to support requests.

We do not vet, endorse, background-check, or guarantee the accuracy of any organization listed on the Service. You are responsible for evaluating any organization, coach, or program before enrolling a child. WhereTheyPlay is a directory, not a referral, placement, or accreditation service.

4. Organization Accounts and Subscriptions

  • Organizations create an account via email sign-in (magic link) and may list one organization profile per account.
  • Basic listings are free. The optional organization dashboard is offered as a monthly ($25), 6-month ($135), or annual ($250) subscription, billed via Stripe. Monthly plans include a 14-day free trial for new subscriptions; 6-month and annual plans begin at purchase and are covered by the 30-day money-back guarantee. When a Monthly trial ends, the plan converts to a paid Monthly subscription and the payment method on file is charged $25, unless you cancel before the trial ends. Billing, renewal, cancellation, and refund terms are in Section 6 (Subscriptions, Billing & Refunds).
  • You're responsible for the accuracy of your organization's profile, team information, recruiting needs, and any photos or staff information you upload.
  • By uploading photos (facility or staff), you confirm you own or have permission to use them, and that they don't depict identifiable minors without appropriate consent. We may remove any content that violates these Terms or that we determine, in our discretion, is inappropriate.
  • We require a minimum number of facility photos and complete staff information before a listing goes live; we may decline or deactivate listings that don't meet these standards.

5. Acceptable Use

You agree not to: submit false or misleading information; use the Service to harass, defraud, or harm others; scrape or bulk-extract listing data; attempt to bypass account restrictions or security controls (including CAPTCHA and rate limits); or use the Service for any unlawful purpose.

6. Subscriptions, Billing & Refunds

All payments are processed by Stripe. We do not store your full card number.

Plans & billing. The optional organization dashboard is offered as a monthly, 6-month, or annual subscription, billed in advance to your payment method on file. Applicable taxes are added at checkout.

Automatic renewal. Your plan renews automatically at the end of each billing period at the then-current price for that plan, until you cancel. For 6-month and annual plans, we send a renewal reminder by email before each renewal. Founding Organization pricing is locked as described in your founding offer and does not increase on renewal.

Cancellation. You can cancel anytime from your account. Cancellation stops future renewals; your dashboard access stays active through the end of the period you have already paid for. Your listing is free and stays published either way.

30-day money-back guarantee. Request a refund within 30 days of any charge and we will refund that charge in full. After 30 days, 6-month and annual plans are non-refundable and not prorated, but your dashboard access stays active through the paid term. Your listing is free and stays published either way. Monthly plans can be canceled anytime and stay active through the end of the current billing month. Refunded charges include the tax collected. To request a refund, contact leads@wheretheyplay.com.

Price changes. We may change plan prices; changes apply only to renewals and only after at least 30 days' notice by email. Founding pricing remains locked.

7. Third-Party Links

Our Gear pages may include affiliate links (including the Amazon Associates program). We may earn a commission on qualifying purchases made through these links, at no extra cost to you. We are not responsible for third-party sites, products, or their content.

8. Disclaimers

The Service is provided "as is" without warranties of any kind, express or implied. We do not guarantee that listings are accurate, current, or that any organization is safe, licensed, or suitable for your child. Your use of any organization's programs is at your own risk and subject to that organization's own policies.

9. Limitation of Liability

To the fullest extent permitted by law, WhereTheyPlay is not liable for any indirect, incidental, or consequential damages arising from your use of the Service or your interactions with any listed organization. Our total liability for any claim relating to the Service is limited to the amount you paid us, if any, in the 12 months before the claim.

10. Indemnification

You agree to indemnify and hold WhereTheyPlay harmless from claims arising out of your use of the Service, your content, or your violation of these Terms.

11. Termination

We may suspend or terminate any account that violates these Terms, provides false information, or misuses the Service.

Copyright and repeat infringers. We respond to copyright takedown notices as described in our DMCA & Copyright Policy. Valid takedown notices are recorded as strikes against the account that posted the material, and we will terminate, in appropriate circumstances, the accounts and listings of users who are repeat infringers.

12. Governing Law

These Terms are governed by the laws of the State of Washington, without regard to conflict-of-law principles. Any dispute will be resolved in the state or federal courts located in Washington, and you consent to that venue.

13. Changes to These Terms

We may update these Terms from time to time. Continued use of the Service after changes take effect constitutes acceptance of the revised Terms.
