Refund Policy
Effective date: September 26, 2026
Version: 2026-09-26
This page sums up how refunds work on WhereTheyPlay. The full terms are in our Organization Terms and Family Payment Terms. If this page and those terms ever disagree, those terms win.
There are two kinds of payment on WhereTheyPlay, and they have different refund rules.
1. Organizations: your WhereTheyPlay subscription
This covers the Monthly, 6 month and Annual paid listings, and the Ultimate Dashboard.
30 day money-back guarantee. Ask within 30 days of any subscription charge and we will refund that charge in full, including the tax on it. When we refund a charge, we also cancel that plan, and its paid features stop on the day of the refund. If your page was a free claimed page before you paid, the refund does not bring the free period back, so your page comes down when the plan is cancelled.
After 30 days. 6 month, annual and Ultimate plans are not refunded or prorated. Your plan stays active until the end of the period you paid for.
Monthly plans. You can cancel at any time. Your plan stays active until the end of the month you paid for.
The free trial. A new monthly plan starts with a 14 day free trial. If you cancel before it ends, you are never charged.
How to cancel. From your account page, at any time. No call or email needed. Cancelling stops future renewals.
Charged twice by mistake? Tell us and we will refund the extra charge.
How to ask for a refund. Email leads@wheretheyplay.com with your organization's name and the date of the charge.
2. Families: registration payments to a club
The club decides. When you pay a club through WhereTheyPlay, the club's own refund policy applies. Ask the club for it before you pay. WhereTheyPlay does not decide whether you get a refund.
How it works. If the club agrees to refund you, the refund is issued through WhereTheyPlay, either by the club from its own dashboard or by us at the club's request, and goes back to the card you paid with. It usually shows up in 5 to 10 business days.
The WhereTheyPlay service fee. If a payment is refunded in full, the WhereTheyPlay service fee on it is refunded too, at our cost. If only part of a payment is refunded, the same share of the service fee is refunded too, rounded to the nearest cent, at our cost. For example, if the club refunds 20 percent of its price, you also get back 20 percent of the service fee.
Payment plans. If the club refunds its full share of a plan payment, the rest of the plan stops. To stop a plan's future payments without a refund, use the Stop my future payments link in your plan confirmation email, press Stop my future payments on your balance page if your club uses balance pages, or email leads@wheretheyplay.com (see the Family Payment Terms).
If the club does not answer. Email leads@wheretheyplay.com. You can also dispute the charge with your bank. That is always your right.
3. Organizations: refunding a family
If you are a club and want to refund a family, use the Refund button on your payments page when it is switched on for your organization, or email leads@wheretheyplay.com with the family's email address, the payment date and the amount, and we issue the refund for you. A full refund returns the whole payment to the family, including our service fee, which we pay. A partial refund returns the part of your money you choose and the same share of our service fee, which we also pay. Either way, only your share comes back out of your Stripe account. The Organization Terms explain the details.
